1. OUR ROLE IN DATA PROCESSING
1.1 Data Controller
We act as a Data Controller when processing personal data related to account registration, subscription management, billing, support, analytics, and marketing communications. We determine the purposes and means of processing in these cases.
1.2 Data Processor
When customers upload email addresses for verification via our dashboard or API, we act strictly as a Data Processor on behalf of the Customer (the Data Controller). We process data only to provide verification results and do not use it for independent purposes, marketing, or reselling. Processing is governed by our Data Processing Addendum (DPA).
2. TYPES OF INFORMATION WE COLLECT
2.1 Account & Identity Information

2.2 Payment Information
Payments are securely processed by Stripe. We do not store full credit card numbers, CVV codes, or complete payment credentials. Stripe processes data in accordance with its own privacy policy and PCI-DSS standards.
2.3 Email Verification Data (Customer-Submitted Data)
We process submitted emails to validate syntax, check domain configuration, analyse server responses, and assess deliverability. We do not send marketing emails to these addresses, store lists permanently, or use them for profiling. Data is processed transiently and retained only as necessary.
2.4 Usage & Technical Data
We collect browser type, device info, operating system, access timestamps, API request logs, and usage statistics to maintain security and optimise performance.
3. LEGAL BASIS FOR PROCESSING (UK GDPR & EU GDPR)
Contractual Necessity: To provide subscription services and verification tools.
Legitimate Interest: To maintain security, prevent fraud, improve functionality, and protect infrastructure.
Consent: For marketing emails, non-essential cookies, and optional communications.
Legal Obligation: To comply with UK tax, accounting, and regulatory requirements.
4. HOW WE USE PERSONAL DATA
We use collected data to manage accounts, provide verification services, process payments, enforce terms, respond to support requests, prevent abuse, maintain uptime, and improve features. We will request additional consent if processing is required for new purposes.
5. HOW WE SHARE INFORMATION
We do not sell personal data. We share information with trusted third parties (cloud providers, Stripe, analytics, security monitoring) only for operational purposes. All third parties are contractually required to maintain confidentiality.
6. INTERNATIONAL DATA TRANSFERS
VerifiSaaS serves global clients. Data may be processed outside the UK. Where required, we implement safeguards including UK-approved Standard Contractual Clauses (SCCs), adequacy decisions, and contractual safeguards.
7. DATA RETENTION
Account Data: Retained while active and for a reasonable period thereafter.
Billing Records: Retained in accordance with UK tax laws.
Verification Data: Processed temporarily and not retained longer than operational necessity, except for security logs and fraud prevention.
Aggregated Data: Anonymous statistical data may be retained indefinitely.
8. SECURITY MEASURES
We implement technical safeguards including HTTPS encryption (TLS 1.2+), role-based access controls, secure cloud infrastructure, firewalls, API authentication, and audit logging.
9. DATA SUBJECT RIGHTS
Under UK and EU GDPR, you have the right to access, correct, delete, or restrict processing of your data. You may also lodge a complaint with the UK Information Commissioner’s Office (ICO).
